Building Maintenance Managers and Facility Maintenance and Property Managers everywhere are concerned with controlling costs and improving productivity, all while ensuring a high level of customer satisfaction.
Owners, executives, and managers want to measure performance, and often ask:
How's my response time on work?
Am I meeting contractual requirements?
Is asset availability and uptime being maximized?
Have we optimized property or facility maintenance costs?
eMaint provides the major building maintenance software and systems that property management and facilities maintenance management need for asset management, work order management, service requests, and key performance metrics.
Asset Management Systems
Managing assets is a critical component to the operations of any facility or property. eMaint building maintenance software provides the ability to identify, track, locate and analyze all of your corporate assets. The asset explorer provides a user-definable "tree" view of assets, making it easy to locate by the location, type, system or any other hierarchical setting you choose.
Keeping track of assets and their changing locations is a challenge. eMaint gives you the ability to track asset locations so you know where it is, where it's going and where it's been.
eMaint's web-based facilities maintenance software and property maintenance software systems provide point and click access to all labor and material costs right at the asset level. Gathering of all these costs is accomplished through our powerful work order system.
Work Order Management
The eMaint Work Order center allows you to provide technicians with a planned job, the proper procedures and the necessary parts and tools they need to work without delays or interruptions. Labor, parts and purchases are easily tracked on the work order, allowing you to quickly analyze the costs associated with facility maintenance management.
With eMaint, you'll be able to calculate response time and completion rates, track performance, and provide a feedback mechanism to keep your internal customers aware of the status of their work requests.
Service Request and
Maintenance Request Software
Work requests - whether from owners, tenants, staff, students, teachers, customers -- are at the cornerstone of operations and facility management. Let's face it: there shouldn't be a "one size fits all solution" to managing work requests. For some organizations, simplicity is the key. Our "You've got work" feature makes submitting work requests as easy as sending an email. Other organizations require a more robust solution. The "My Requests" feature not only provides a customizable form for detailed entry of the request, it provides a requester control panel to view the status of pending, open and past work.
Key Performance Metrics
The Maintenance Dashboards in X3 property and facilities maintenance software provides up-to-the-minute information on the key performance metrics critical to your building maintenance program:
New work orders in last 24 hours
Percentage of work completed last week
Year to date number of work orders open
YTD Number of work orders completed
YTD Labor hours
YTD Material costs
Percentage of work orders over estimate
Turnaround times on work
Users of eMaint X3 building maintenance software experience positive results:

“For 30 years we didn't measure anything. In the last 18 months we have built up that ability, and now we are able to trend just about anything we want.”
Tiara Yachts is a leading manufacturer of high-quality yachts, based in Holland, Michigan. Tiara implemented eMaint X3 CMMS to track labor activities of the maintenance department. They have created numerous reports and dashboards that enable them to spot trends and discover cost-saving opportunities.
Challenge
At the time of their CMMS implementation, Tiara Yachts had three sites, 800,000 square feet of manufacturing area, over 400 employees, and hundreds of assets to maintain. They were in need of a scheme for naming and cataloging assets and numbering parts. The primary goal was to understand exactly what the maintenance department was responsible for, and then aggregate that information for the operations team and the owner of the company.
Implementation
Tiara implemented the eMaint X3 CMMS system in 2009 and the transition went smoothly. They immediately began to catalog their assets in order to locate inventory more efficiently. Tiara also began building and scheduling preventive maintenance (PM) tasks for assets. After understanding the system and organizing their assets, Tiara began to charge labor costs directly to assets for the first time in the company's history. They ran reports on these findings in order to determine which assets required the most maintenance and which were the least costly to maintain. For example, Tiara was able to isolate and replace the specific components of their Chopper Rig that were consuming unnecessary resources.
Currently, Tiara uses eMaint for tracking labor charges on scheduled PMs, work requests and repair work orders and are planning to utlilize the inventory and purchasing (including barcoding and MX mobile) features of eMaint X3 CMMS next.
Results
eMaint helped Tiara satisfy their initial goal of cataloging assets in order to locate parts more expeditiously. Since implementing these tracking features, Tiara has been able to reduce expenses by identifying costly repairs and taking corrective action. In one instance, they identified a group of assets that comprised 6% of their inventory, but consumed 30% of the team's resources. After running additional reports based on eMaint's initial findings, the maintenance manager was able to isolate the cause (inadequate operator training), share this information with his operations team and implement a revised training program. The need for this improvement would not have been evident prior to implementation of the X3 CMMS system.
One unexpected benefit of the system is the automated monthly reports, which helped to legitimize the maintenance team, giving them visibility to upper management. The maintenance manager is able to meet with the owner and show him exactly what his team has been working on in the past month. In fact, 95% of the maintenance staff's available working time is registered on eMaint as recorded work time. After reviewing the length of time that the maintenance team has spent on each project, they adjust time allocation for improved efficiency. X3 CMMS has enabled the maintenance manager to confidently recommend and gain approval on expenditures with solid data on anticipated cost-savings and payback.
